Understanding Properties, Contacts, and Intakes

Drodat is built around four core elements that work together to organize every claim.

Properties

A property is the foundation where all data is stored.

It is part of the claim-building process and may not represent an active claim yet.

This is where you can manage:

  • Contacts

  • Intakes

  • Contracts

  • Inspections

  • Property-related data

Projects

A project is where the actual work happens.

This is where a claim is actively managed and moved through your workflow.

This is where you:

  • Track progress

  • Assign team members

  • Manage tasks and scheduling

  • Organize documents and communication

Projects allow you to take a claim from start to completion.

Intakes

An intake is the information-gathering stage used to capture potential claim details.

It helps you evaluate an opportunity, referral, or potential claim before work begins.

This includes:

  • Property information

  • Insured details

  • Date and type of loss

  • Insurance information

Intakes help standardize how information is collected before creating a project.

Contacts

A contact represents a person or company related to a property or project.

There are two types of contacts in Drodat:

People

Individual contacts involved in a claim or project, such as:

  • Owner

  • Tenant

  • Contractor

  • Insurance Adjuster

  • Real Estate Agent

  • Attorney

  • Vendor

  • Other custom roles

Companies

Organizations connected to a claim or project, such as:

  • Insurance Carrier

  • Law Firm

  • Mortgage Provider

  • Vendor

  • Other custom types

Contacts can be linked to both properties and projects, depending on the workflow.

They help you keep track of everyone involved and ensure communication and relationships are organized in one place.

How They Work Together

  1. You create a Property

  2. You add Contacts

  3. You create an Intake

  4. You create a Project to manage the work

This structure keeps everything organized from claim intake to completion.
